IMA Financial Group: Copilot Discovery & Summit Enablement
How we shadowed four IMA producers, turned their real workflows into live demos, and got a room full of producers asking to start.
Background
IMA Financial Group is one of the largest privately held insurance brokerages in the country, with hundreds of retail producers. They had just recently decided to begin adopting AI into their organization and were already equipped with Microsoft 365 and Copilot licenses, but adoption had stalled. Producers knew the access was there; they just didn't have time to learn a new tool while staying focused on their clients and day-to-day responsibilities. Our job was to work with the team and show the broader group how Copilot can give time back, not take it away. That summit kicked off a broader program that included AI Producer Trainings and a Power User Cohort.
What We Did
Ahead of IMA's company summit, we ran ride-along shadowing sessions with four producers across different lines of business and experience levels. We mapped each producer's real day: where the hours went, which systems they worked across (Salesforce, Outlook, OneNote, Excel, ZoomInfo), and exactly where AI could save time.
From that, we built and delivered:
- A library of 30+ production-ready prompts tied to real producer tasks
- 7 Copilot training guides covering the Microsoft 365 suite
- An AI readiness assessment and a three-phase rollout plan
- 5 live use-case demos presented on stage at the summit, with top producers as champions
Impact
The use cases were presented live, and over 500 producers in the audience immediately saw the value that Copilot brought and wanted to learn more. Morning briefing prep dropped from 30-45 minutes to under 2 minutes. Prospect research went from hours per batch to under 10 minutes. We cataloged and prioritized 45+ use cases across their workflows.
This engagement laid the foundation for the AI Producer Trainings that followed, first showing the organization the value of AI, then laying out the roadmap for how to use it safely and efficiently. That work continued with the Power User Cohort, a graduating coaching track for producers ready to go further on their own books of business.
